Privacy policy

Online Group Games operates Snoopi.ai (“Snoopi,” “we,” “us”). This policy applies to Snoopi, including its temporary website. It explains the information we handle for teacher accounts, lesson creation, substitute presentations, and live quizzes. Other Online Group Games products have separate accounts and policies. For privacy requests or support, email support@onlinegroupgames.com.

1. Teacher accounts and lesson material

We process the teacher email address and password submitted for account access, authentication records, lesson text, extracted PDF/DOCX text, generated activities, review status, saved edits, usage counts, and optional substitute completion notes. Password authentication is managed through Supabase; passwords are not lesson content. The lesson library stores extracted text and generated lesson data rather than keeping the original uploaded file. If you contact support, we receive the information you choose to include in your message.

Do not upload student names, email addresses, rosters, grades, IEPs, health information, or other identifying student records. Automated checks are best effort and do not guarantee detection. Do not send passwords, API keys, full card details, or student records to support.

2. Temporary student quiz participation

Students do not create accounts or choose identifying names. A teacher-led Quick Quiz assigns a room-specific alias and records the selected answer for each question using a temporary room cookie. Teachers see answer totals rather than a persistent learner profile. Student answers and aliases are not sent to the AI provider. We do not use quiz participation for advertising, marketing to students, or cross-site behavioral profiles.

Hosting and security providers necessarily receive connection information such as IP addresses, browser/device information, request paths, and timestamps. We use this information to deliver and secure the service, enforce limits, and diagnose failures. Assigned aliases do not mean that all technical information is anonymous. Participation is limited to a responsible adult’s quiz room; it is not an open student messaging service.

3. Why we use information

We use information to authenticate teachers, generate and save lessons, run classroom presentations and quizzes, manage sharing and usage limits, respond to support/privacy requests, prevent abuse, and maintain reliability. Operational events can include account identifiers, event types, timing, and generation token counts. Our application does not deliberately log raw lesson text or student answers as operational analytics. We do not sell personal information or use it for targeted advertising.

4. AI processing and service providers

When a teacher requests creation, regeneration, or replacement, Snoopi sends the relevant source text, instructions, lesson context, and selected grade/subject to OpenAI’s API. Do not include identifying student information in those materials. We request that response objects are not stored for conversation history. This is not a zero-retention guarantee: OpenAI may retain API content for abuse monitoring, generally up to 30 days, or longer for safety or legal reasons. API content is not used to train OpenAI models by default. See OpenAI’s API data controls.

We use Supabase for authentication and the private database, Vercel for hosting and operational logs, and OpenAI for generation. When paid billing is enabled and you purchase Snoopi Pro, Stripe processes payment information through its hosted checkout and billing portal. Snoopi stores relevant customer/subscription identifiers, billing frequency, renewal/cancellation dates, and subscription status rather than payment-card details. These providers process information to supply their services under their applicable terms and data-handling policies. We may also disclose information when legally required or necessary to protect the service and people’s rights or safety.

5. Retention and deletion

Saved teacher lessons, extracted sources, and associated notes remain in the active service until you delete them or we process an account-deletion request, subject to legal or security needs. Deleting a lesson removes its associated stored source records and sharing capabilities from the active service. Substitute links expire after the duration the owner selects or can be revoked earlier; their notes stay with the lesson until deletion.

Quiz rooms, aliases, and answers are removed from the active database within 24 hours of room creation by scheduled cleanup. Restricted recovery backups can temporarily contain deleted records until the provider’s backup rotation removes them; they are used for recovery, not to create new learner profiles. Necessary security, billing, and request-handling records may be kept longer to meet their specific operational or legal purposes. We do not promise immediate erasure from every provider backup. Content printed, copied, or shared outside Snoopi is outside our deletion controls.

6. Cookies, browser storage, and security

Snoopi uses essential authentication/quiz cookies and browser storage for presentation progress and same-device projector synchronization. Blocking or clearing them can interrupt sign-in, joining, or saved presentation state. Displayed content and local presentation state may remain on a shared browser until its storage is cleared. Close private presenter tabs and clear shared-device data when finished. We do not deploy advertising trackers or optional marketing analytics in this release.

We use access controls, encrypted connections, and provider security controls to protect information. No online system is risk-free. Substitute URLs grant access to whoever holds the link: keep them private and revoke them when no longer needed. A previously loaded or printed presentation cannot be remotely recalled.

7. Children, schools, and privacy requests

Teacher accounts are for adults 18 and older. We limit student participation to teacher-led quizzes and do not ask children for account credentials or identifying records. Schools and facilitators should use the service within applicable school and consent rules; we remain responsible for our own legal obligations. Contact us before use that requires a separate school data-processing agreement.

Teachers, parents, guardians, and authorized school representatives can contact support@onlinegroupgames.com to request access, correction, deletion, or an end to further collection where applicable. For a quiz concern, provide the room code/alias and approximate session time, not student names or records. We verify the requester’s authority before disclosing or deleting information. A participant can leave the quiz and clear its browser data; a teacher can stop the room. Available rights depend on applicable law, and we will handle requests under those requirements.

8. Location, updates, and contact

Snoopi uses service resources in the United States, and providers may process information in other locations under their agreements. Contact us before use that requires specific data-residency arrangements. We will post policy updates with their effective date and provide notice of material changes through the service, seeking additional consent where required.
